How customers create bookings in the portal

Although you may not create bookings in the portal yourself, it is useful for you to see and understand the process that a customer should follow to add a booking to topbox.

Using the Customer Booking Portal

Your customers log to your booking portal, it is customised with your logo, colours and background image.

Users are given access to the portal in the Booking Contacts section of a Customer’s profile.

After logging in, customers are presented with a screen where they can see all jobs (active and historic).
Clicking New Booking instigates a new booking form.

Customers enter their Collect From and Deliver To addresses. Address book addresses are available.
Google calculates the route.
The ability to Add Addresses and Wait and Returns is also available.
The customer clicks Get Quotes to proceed.

Customers are presented with price(s) for the job.
Each price is calculated according to the Service Types and pricing (Rate Cards and Special Pricing) held for that customer.
The customer selects the price and service they wish to proceed with before clicking Enter Details.

The customer can add additional details such as Notes and References.
The addresses cannot be edited by the customer at this point. To edit addresses the customer must click Abandon Booking and start again.
The customer clicks Make Booking to proceed.

The customer sees a confirmation screen.
They can click New Booking to create a new job, Show Map to see the route, or Done to return to the tracking screen.
Any users enabled as 'receiving portal booking notifications' are sent the email.

You see the job appear on your Control screen.
You can proceed to progress the job as per standard topbox guidelines. You are able to edit the booking and change/add addresses.

You can see that the booking has come via the portal by viewing the Booking Audit.
The first row confirms a Booked By name showing (portal) to confirmation the job was created in the portal.

After you have allocated a driver, the customer can see the driver location on the portal booking map (providing the driver is sharing their location).
Once the job is POD, the map option disappears for the customer.
